With this in mind, and given the current situation with COVID-19 (Coronavirus), we have put together a guide for our tenants and landlords to help navigate these uncertain times.

TENANTS

VISITING THE OFFICE

Please do not visit the office without an appointment for the foreseeable future. We will update you once this protocol is updated, but for now, only book an appointment if you truly need to come and see us. We can process pretty much anything online, including all payments, so there shouldn’t be a reason to need to visit us.

MAINTENANCE & USE OF ONLINE TUTORIALS

Your health and safety are very important to us, but so is that of our contractors, so we have some revised ways of sorting maintenance issues in the short term. In some cases, you will be asked to repair items yourself; usually where the only tools you need are a bucket or a screwdriver (a butter knife may also suffice). Unless it’s incredibly important, we may not be able to get a contractor to visit, so we will all need to be sensible and reasonable. We will send you an update full of specific suggestions, plus we have a page on our website with links to video ‘how to’ guides. SELF-ISOLATION & SUBSEQUENT ACTIONS

If you do need or choose to self-isolate, you MUST notify us – no exceptions. We must be aware that we cannot enter your home. Clearly this will impact maintenance and any viewings or inspections, so we will discuss what happens in those cases. Please make sure you contact us to discuss options.

VIEWINGS

We are completing video tours of all properties being advertised so we will only need access once. In some cases, residents are providing us with videos they have compiled themselves, and if you wish to explore this option, please speak to us. As soon as the video is completed, we don’t need to bother you again in the short term. We hope you’ll appreciate our efforts to minimise disruption, whilst endeavouring to do our job and secure new residents.

CHECK-OUTS

If you are coming to the end of your tenancy, we will be in contact to talk through the process for handing back keys. In the event of office closures, we will have a system for you, so please don’t worry.

If, before you move out, you need to self-isolate, please let us know and we can plan for the new situation. We will work with you to find the best solution, so you have one less thing to worry about. Talk to us.

ADVICE

We are not doctors, so whilst we like to be helpful, you should only listen to the official advice provided by Her Majesty’s government or the World Health Organisation. Don’t google things or read rubbish on Twitter.

WE ARE FULLY PREPARED WHEN WORKING FROM HOME

We have the capability to work from home yet continue to fulfil our roles; we did a lot of preparation work in the weeks before the UK went on lockdown. We will make sure that you can still speak to us and we will endeavour to help you in any way we can. If any of our team catch the Coronavirus, we will activate our emergency plans and we will have extra people available. Please bear with us and allow for slower responses or extended timelines, as for some of the team, working from home is a new experience.

If you do decide to visit the office for any reason, you will be asked to sign-in and provide contact details. This is just a precaution should we, worst-case scenario, become exposed to the virus and need to inform anyone who has visited the office.

If your tenants are coming to the end of their tenancy, we will be in contact with them to talk through the process for handing back keys. In the event of office closures, we have a system set up, so everything will run as smoothly as events will allow.

If, before your tenants move out, they need to self-isolate, they will let us know and we will plan for the new situation. We will work with them to find the best solution so everyone has one less thing to worry about.
